Outsports Group Australia Pty Ltd (ABN 57 690 128 575), trading as Outsports Hiking Hire, is committed to providing quality services to you, and this policy outlines our ongoing obligations to you in respect of how we manage your Personal Information.
We have adopted the Australian Privacy Principles (APPs) contained in the Privacy Act 1988 (Cth) (the Privacy Act). The APPs govern the way in which we collect, use, disclose, store, secure and dispose of your Personal Information. A copy of the Australian Privacy Principles may be obtained from the website of the Office of the Australian Information Commissioner at oaic.gov.au.
Personal Information is information or an opinion that identifies an individual. Examples of Personal Information we collect include names of individuals and organisations, addresses, email addresses and telephone numbers, and information about the goods we supply to you.
This Personal Information is obtained in a number of ways, including by correspondence, by telephone, by email, through our website, through our online booking portal, in person, and from the organisation to which we are providing our services.
We collect your Personal Information for the primary purpose of providing our services to you. We may also use your Personal Information for secondary purposes closely related to the primary purpose, in circumstances where you would reasonably expect such use or disclosure, and to meet our legal and taxation obligations. You may unsubscribe from any of our mailing lists at any time by contacting us in writing.
We do not collect or hold payment card or bank account numbers.
When we collect Personal Information we will, where appropriate and where possible, explain to you why we are collecting the information and how we plan to use it.
Sensitive Information is defined in the Privacy Act to include information or an opinion about such things as an individual’s racial or ethnic origin, political opinions, membership of a political association, religious or philosophical beliefs, membership of a trade union or other professional body, sexual orientation, criminal record, genetic or biometric information, or health information.
We do not require Sensitive Information in order to provide our services, and we ask that you do not provide it to us. If we receive Sensitive Information that we have not requested, we will not use it, and we will take reasonable steps to destroy or de-identify it unless we are required by law to retain it.
Where we are required to collect Sensitive Information, it will be used by us only:
Where reasonable and practicable to do so, we will collect your Personal Information only from you. However, in some circumstances we are provided with Personal Information about individuals by the organisation to which we are providing our services. We rely on that organisation to have the authority to provide that information to us, and we use it only for the purpose for which it was provided.
If Personal Information about you has been provided to us by another organisation, you may contact us about it directly.
Some of the Personal Information we hold is reproduced on printed documents that accompany the goods we supply, so that those goods reach the correct recipient and are accounted for on their return. These documents are limited to the information necessary for that purpose, and we do not reproduce Sensitive Information on any printed document.
Because these documents accompany the goods, they may be seen by our staff and contractors, and by personnel of the organisation receiving the goods. If you would prefer that identifying details be replaced with initials or reference codes, please tell us and we will do so. Printed documents are held securely and are securely destroyed when no longer required.
We do not sell Personal Information. Your Personal Information may be disclosed in a number of circumstances, including the following:
Personal Information collected through our website and our online booking portal is stored in Australia, and automated correspondence from the portal is sent from within Australia. Our business email is also stored in Australia.
We do not disclose Personal Information about participants to any recipient located overseas.
Some of the service providers we use to operate our business are located outside Australia, and Personal Information held in those systems may be stored or accessed in Canada, the United States and New Zealand. Before disclosing Personal Information to an overseas recipient, we take reasonable steps to satisfy ourselves that it will be handled in a manner consistent with the Australian Privacy Principles.
Your Personal Information is stored in a manner that reasonably protects it from misuse and loss, and from unauthorised access, modification or disclosure. This includes appropriate technical and organisational measures for our systems, and the secure handling and destruction of paper records.
When your Personal Information is no longer needed for the purpose for which it was obtained, and we are not required by law to retain it, we will take reasonable steps to destroy or permanently de-identify it.
If a data breach occurs that is likely to result in serious harm, we will notify the individuals affected, the organisation whose information is involved, and the Office of the Australian Information Commissioner.
You may access the Personal Information we hold about you, and ask us to update or correct it, subject to certain exceptions. If you wish to access your Personal Information, please contact us in writing.
In order to protect your Personal Information, we may require identification from you before releasing the requested information. We will respond within a reasonable time, and we will advise you if there is any reason we are unable to provide access. If you find that the information we hold is not up to date or is inaccurate, please advise us as soon as practicable so that we can update our records.
Our website and online booking portal use cookies to enable them to function and to help us understand how our website is used. They are not used for advertising, and you may block or delete them in your browser. Our website may also contain links to other websites, and we do not guarantee the content or the privacy practices of websites we do not operate.
This policy may change from time to time, and the current version is available on our website.
If you have any queries or complaints about our Privacy Policy, or you believe we have mishandled your Personal Information, please contact our Privacy Officer using the details below so that we may investigate.
